Job Summary

The Personal Assistant to the VP – Sales will provide high-level administrative and operational support to the Vice President. The role involves managing schedules, coordinating meetings, handling communication, preparing reports, and ensuring smooth functioning of the Sales department through efficient administrative assistance.

Key Responsibilities
1. Calendar & Schedule Management
  • Manage and maintain the VP – Sales’ calendar, appointments, and meetings.
  • Coordinate internal and external meetings, conferences, and travel arrangements.
2. Communication & Coordination
  • Act as a point of contact between the VP – Sales and internal departments.
  • Screen calls, emails, and correspondence and respond when appropriate.
  • Coordinate with regional sales teams and other departments for updates and follow-ups.
3. Documentation & Reporting
  • Prepare presentations, reports, and sales-related documents.
  • Maintain confidential files, records, and important documentation.
  • Compile sales data, meeting notes, and MIS reports when required.
4. Meeting & Event Coordination
  • Organize sales meetings, review meetings, and strategy discussions.
  • Prepare agendas, take minutes of meetings (MOM), and track action points.
5. Administrative Support
  • Assist in preparing sales presentations, proposals, and reports.
  • Handle travel bookings, expense reports, and administrative tasks.
  • Ensure smooth coordination of day-to-day activities of the VP – Sales.
6. Confidentiality & Professionalism
  • Handle sensitive and confidential information with discretion.
  • Maintain professional communication with internal and external stakeholders.

Qualifications
  • Bachelor’s degree in Business Administration, Management, or related field.
Experience
  • *3–6 years of experience* as a Personal Assistant, Executive Assistant, or similar role supporting senior management
